Terms of service
1. Definitions
For the purposes of these Terms and Conditions, the following terms shall have the meanings set forth below:
- “Site” refers to the website located at www.keytoiceland.com, including all associated subdomains and services of Key to Iceland, affiliated websites, platforms and applications owned and operated by Key to Iceland.
- “Key to Iceland,” “we,” “us,” or “our” refers to the company Key to Iceland, which operates the Site and provides the online travel services described herein.
- “User,” or “you,” refers to any individual or entity accessing or using the Site for any purpose, including but not limited to browsing, creating an Account, making Bookings, submitting reviews, or contacting Service Providers.
- “Service Provider(s)” refers to any third-party provider of accommodation, tours, transportation, guiding services, or other travel-related products or services made available through the Site, with whom Users enter into a direct contractual relationship.
- “Local Guide(s)” refers to an individual or business registered on the Site that offer local guiding or tour services, including but not limited to cultural experiences, nature tours, or outdoor activities. Local Guides operate as independent contractors and are not employees or agents of Key to Iceland.
- “Personal Tourguide” refers to an AI-powered trip planning tool that is designed to offer Users customized travel suggestions based on their preferences and interests.
- “Booking(s)” refers to any reservation or purchase made by a User via the Site for services or products offered by a Service Provider.
- “Content” includes, but is not limited to, all text, images, pricing information, videos, logos, graphics, reviews, and other materials available on the Site, whether provided by Key to Iceland, Users, or third parties.
- “Account (s)” refers to the User registration created to access certain features or functionalities of the Site, including managing Bookings and submitting reviews.
- “PCI-compliant third-party provider” refers to an external payment processing service that adheres to the Payment Card Industry Data Security Standard (PCI DSS) — a global standard for securing credit card information. These providers are certified to store, process, and transmit payment card data securely on behalf of Key to Iceland.
- “Terms and Conditions” or “Terms” refers to these terms and conditions governing the use of the Site and services provided by Key to Iceland.
- “3DS Card” verification is an additional verification step required by many card issuers and payment networks (e.g., Visa Secure, Mastercard Identity Check) to enhance payment security and protect against fraud. When making a Booking, you may be prompted to complete a 3DS verification step, i.e. such as entering a one-time password (OTP), confirming via your banking app, or other methods required by your card provider. This step helps confirm that the person making the Booking is the authorized cardholder.
Failure to complete the 3DS authentication may result in the transaction being declined and your Booking not being confirmed.
- “Pay Now” - refers to a payment method whereby the User’s credit card is charged in full at the time of Booking, subject to 3D secure (3DS) verification. No additional charges will be processed by Key to Iceland in relation to the Booking, unless the accommodation provider has expressly stated that certain fees (e.g. City Tax) are excluded from the total and payable at check-in.
- “Pay Later” - refers to a payment method that authorizes Key to Iceland to perform a pre-authorization (hold) of the full Booking amount on the User’s credit card, subject to 3D Secure (3DS) verification, with the amount to be charged (captured) at a later date, in accordance with the applicable cancellation policy of the selected accommodation provider.
2. Website Terms & Conditions
2.1 Acceptance of Terms
By accessing or using www.keytoiceland.com or any affiliated websites operated by Key to Iceland, you agree to be legally bound by these Terms and Conditions, effective immediately upon your first time use.
If you do not agree to be legally bound by all of the following terms, you must not use the Site or any associated services.
2.2 Changes to Terms
Key to Iceland reserves the right to update or modify these Terms and Conditions at any time by posting the revised version online.
Please review these Terms regularly to stay informed of any changes.
Continued use of the Site after changes are posted, constitutes your acceptance of any updated Terms.
2.3 User Warranties
By using the Site, you represent and warrant that:
a) You have not previously been suspended or banned by Key to Iceland
b) You are not a direct competitor of Key to Iceland
c) You do not hold more than one active Key to Iceland Account at any time
d) You have full legal authority to enter into these Terms and doing so does not violate any other agreement to which you are a party
2.4 Intellectual Property and Use of Content
All Content on the Site, including but not limited to text, images, URLs, pricing information, and other materials, is the property of Key to Iceland or its licensors.
You may not copy, reproduce, republish, download, post, broadcast, transmit, or otherwise make the Content available to the public except for your own personal, non-commercial use.
Any commercial use of Key to Iceland’s Content requires prior written permission by Key to Iceland.
3. Access to the Site
3.1 Account Creation and Confidentiality
In order to access certain features of the Site, you may be required to create an Account and provide accurate, current, and complete information about yourself.
You are solely responsible for maintaining the confidentiality of your Account credentials, including your password, and for safeguarding access to your Account.
3.2 Responsibility for Account Activity
You are fully responsible for all activity that occurs within your Account, whether or not authorized by you.
You agree to notify Key to Iceland immediately of any unauthorized use of your Account or any other breach of security.
3.3 Personal Use Only
Accounts are intended for personal use only. You agree that you will not:
- Impersonate another individual or entity (e.g. adopt a false identity)
- Create an Account on behalf of another person
- Use an email address that is not your own
- Create multiple Accounts for yourself
3.4 Account Termination
Key to Iceland reserves the right to suspend or close your Account at any time, with or without prior notice, and at its sole discretion, including but not limited to instances of suspected misuse or violation of these Terms.
4. Reviews
4.1 Submitting reviews
You may contribute to the Site by submitting a review based on your personal experience with services or accommodations booked through Key to Iceland. By doing so, you acknowledge and agree that Key to Iceland may use your review in a variety of ways, including but not limited to:
- Displaying it on the Site or affiliated media
- Editing or reformatting it
- Incorporating it into advertisements or promotional materials
- Creating derivative works
- Distributing and promoting it across multiple platforms
4.2 License to use reviews
By submitting a review, you irrevocably grant Key to Iceland a worldwide, perpetual, non-exclusive, royalty-free license to use, reproduce, modify, publish, translate, distribute, and display your review in any media, for editorial, promotional or marketing purposes.
4.3 No implied endorsement
You may not state or imply that your review is endorsed, verified or sponsored by Key to Iceland without our authenticated expressed written consent.
4.4 Legal responsibility for content
You are solely responsible for the content of your review and acknowledge that you may be held legally liable for any damages or claims arising from it.
This includes, but is not limited to, the content that:
- Infringes upon any copyright, trademark, trade secret, patent, or other proprietary rights
- Violates privacy, publicity, or moral rights
- Is false, defamatory, or intentionally misleading
- Contains unlawful material, including hate speech or pornography
- Exploits, harms, or targets minors
- Violates any applicable law or regulation
4.5 Moderation and removal
Key to Iceland reserves the right to remove, reinstate or edit reviews at any time, at its sole discretion. This may occur if we believe a review violates our Content guidelines or applicable law.
We are under no obligation to retain, provide copies of, or ensure the confidentiality of any review submitted.
4.6 Advertising and Placement
We may display advertisements, links, or other content alongside or within your review on the Site or affiliated platforms.
You acknowledge that you are not entitled to any compensation for such placements.
The form, positioning, and frequency of such advertising may change at any time without notice.
5. The role and liability of Key to Iceland
5.1 Role as an Intermediary
Key to Iceland operates solely as an online travel agency (OTA) and Booking platform. We do not own or operate any hotels, accommodations, or tour services listed on the Site.
The role of Key to Iceland is to establish a contractual relationship between the User and the Service Provider, receive payments from Users, and transfer them to the Service Provider.
5.2 Third-Party terms and conditions
Each accommodation or Service Provider may maintain its own terms and conditions, which may differ from those of Key to Iceland.
Please carefully review the individual terms provided by your selected provider, which can be found in your Booking confirmation email.
5.3. Submitting Complaints
If you have a complaint about a Service Provider, please contact us at [email protected].
We are committed to helping facilitate communication and assist in resolving any issues where possible.
5.4 Limited liability of Key to Iceland
The limitation of liability of Key to Iceland is governed by article 10 of the Terms.
6. Pricing & inclusions/exclusions
6.1 Validity of Prices
All products and services listed on the Key to Iceland website are valid only for the dates displayed on www.keytoiceland.com at the time of Booking.
6.2 Currency and quoted rates
Prices are based on local rates at the time of quotation and are converted into other currencies using the prevailing foreign exchange rate according to The Central Bank of Iceland at each time.
All price quotations are subject to change without notice until your Booking is confirmed.
Users agree that all payments will be made in Icelandic króna (ISK), regardless of the User's country of origin or chosen method of payment.
Customers paying with foreign payment cards should be aware that currency exchange fluctuations and/or transaction fees may apply, and they are solely responsible for any such costs.
We encourage Users to check their card issuers daily foreign exchange rates at the time of Booking.
Upon confirmation of Booking Key to Iceland will charge you in accordance with the chosen method of payment, Pay Now or Pay Later.
6.3 Taxes and Governmental Fees
Unless otherwise stated, quoted prices do not include the following fees or charges:
- Local taxes or use-fees
- Foreign departure taxes
- Security or port charges
- Park fees
- Customs, immigration, or agricultural levies
- Passenger-facility charges
- International transportation taxes
6.4 Additional exclusions
Quoted prices also do not include:
- Tips or gratuities to local staff
- Passport or visa fees
- Baggage or personal insurance
- Personal expenses (e.g. souvenirs, personal items)
- Parking fees
- Beverages or meals not specifically listed under “Inclusions” on the product page
7. Cancellations of Bookings
7.1 Standard Cancellation Policy
You may cancel your Booking with Key to Iceland according to the policy of your chosen accommodation. The cancellation policy for your Booking can be found under your User Account on Key to Iceland and will also be stated in your confirmation e-mail.
If you are unable to cancel your Booking, that would suggest that the permitted time window has expired.
7.2 Stress Free Booking
If you book more than 48 hours before the start of the hotel’s cancellation period, your Booking may qualify for our Stress-Free Booking option. This allows you to cancel within 48 hours of making the Booking, for any reason, without penalty.
However, if you book less than 48 hours before the start of the hotel’s cancellation period — or during the cancellation period itself — this option may not be available.
7.3 Flexible Pricing Policy
Cancellation terms may vary depending on the pricing option selected during the Booking process.
Details of the applicable cancellation policy are provided in your Booking confirmation email.
7.4 Force Majeure – Volcanic Eruption
If a volcanic eruption physically prevents your arrival to Iceland—such as due to airport closures, official travel bans, or other government-imposed restrictions - you are entitled to a full refund.
Please note that voluntary cancellations based on personal concerns (i.e. safety concerns) without an official government warning or travel advisory do not qualify for a refund under this clause.
In the absence of such official advisories, Iceland is considered safe to travel to and Bookings remain subject to standard cancellations terms.
7.5 Process for Cancellations
All cancellations must be submitted through your User Account on the Key to Iceland platform.
Modifications to existing Bookings are not permitted. If changes are needed, the User must cancel the existing Booking and create a new one, subject to the applicable cancellation policy and availability.
7.6 Cancellation limitations
Reducing the number of travelers in a Booking is considered a partial cancellation and is subject to the same cancellation terms as full cancellations.
No cancellations can be made within 24 hours of the scheduled arrival time.
Cancellations submitted within this period are not eligible for any refund.
7.7 Failure to Show Up
If you fail to arrive for your Booking without prior cancellation in accordance with the applicable terms, the full Booking amount will be charged. No refund will be issued in the case of a no-show.
8. Terms of payment
8.1 Currency and Display
Payments will be charged in Icelandic króna (ISK), the local currency, as displayed at the time of Booking.
For convenience, prices may also be displayed in EUR or USD, based on the official exchange rate provided by the Central Bank of Iceland.
These converted amounts are for informational purposes only, and the actual charge will be made in ISK - the local Icelandic currency.
8.2 No Additional Fees
Key to Iceland does not charge any Booking or transaction fees.
We are not responsible for:
- Any losses due to currency exchange fluctuations
- Any bank or credit card transaction fees charged by third parties during payment or refund processing
8.3 Payment Processing
When making a reservation through the Site, the User shall be required to provide valid credit card details. The timing and method of payment shall depend on the payment option selected at the time of Booking, namely “Pay Now” or “Pay Later”, as described below:
8.4 “Pay Now” Option
If the User selects the “Pay Now” option:
- The full Booking amount shall be charged immediately upon confirmation of the reservation, subject to successful 3D Secure (3DS) card verification.
- No further charges shall be made to the User’s credit card in relation to the Booking, unless the Service Provider (e.g., hotel) has explicitly stated that City Tax is excluded from the price and will be collected at check-in.
8.5 “Pay Later” Option
If the User selects the “Pay Later” option, payment processing shall depend on the timing of the Booking relative to the property's free cancellation period:
Booking made within four (4) days before the start of the property's free cancellation period:
- The User’s credit card shall be pre-authorized (a hold placed) for the full amount of the Booking at the time of reservation, following successful 3DS verification.
- The amount will be charged (captured) at a later time in accordance with the terms below.
Booking made more than four (4) days before the start of the property's free cancellation period:
- The User’s card shall be subject to 3DS verification only, with a zero-amount authorization performed at the time of Booking.
- Four (4) days prior to the start of the property's free cancellation period, a pre-authorization for the full amount shall be attempted by Key to Iceland.
In the event that the pre-authorization attempt fails:
- The User shall be notified promptly, and up to three (3) additional attempts will be made over the following three (3) days.
- If all attempts are unsuccessful, Key to Iceland reserves the right to cancel the reservation, and a cancellation notice will be sent to the User via email
At 00:01 hours (Iceland local time) on the scheduled day of check-in, the full amount of the Booking shall be charged (captured) using the pre-authorized payment details.
8.6 Cancellations and Refunds
Cancellation within the property’s cancellation period:
- The User’s credit card shall be charged in full or in part, in accordance with the cancellation policy set by the relevant Service Provider.
Cancellation prior to the start of the property’s cancellation period:
- If the Booking is classified as refundable, the reservation shall be cancelled without penalty.
- Any pre-authorizations shall be released, and any amounts previously charged shall be reimbursed in full.
- If the Booking is classified as non-refundable, the full amount may be charged and shall not be eligible for refund.
8.7 Card Security and Data Protection
All credit card information provided by the User shall be securely stored and processed exclusively by PCI-compliant third-party payment providers, in accordance with applicable data protection regulations. Such information shall be used solely for the purpose of processing authorized charges related to Bookings and applicable cancellation policies.
9. Passports, visas & insurance
9.1 Entry and Travel Documentation
It is the sole responsibility of each traveler, regardless of nationality or destination, to verify and comply with the entry, visa, and passport requirements of the country they are visiting.
We recommend checking these requirements directly with the relevant embassy or consulate well in advance of travel.
9.2 Visa and Health Requirements
Visa and health regulations are subject to change without notice.
You are responsible for confirming up-to-date visa, vaccination, and health entry requirements with the appropriate authorities prior to departure.
9.3 Visa Denials
If you are denied entry due to inadequate or incorrect visa documentation, you will not be eligible for a refund, as this will fall outside the applicable cancellation window.
9.4 Travel insurance
We strongly recommend that all travelers purchase comprehensive travel insurance that covers cancellations, medical emergencies, personal liability, and lost or stolen property.
Key to Iceland does not sell or provide insurance and assumes no responsibility for losses arising from a lack of coverage. Please arrange your travel insurance through a private provider.
9.4 EU Package Travel Protection
Key to Iceland currently acts solely as an intermediary for accommodation Bookings and does not offer package travel as defined under the Act no. 95/2018 or the EU Package Travel Directive.
As such, Bookings made through the Site are not classified as travel packages and do not fall under the scope of the Directive.
If in the future your Booking includes a combination of services that qualifies as a “package” under EU law, relevant consumer protections, including insolvency protection, will apply and be clearly indicated at the time of purchase.
10. Disclaimers & limitations of liability
10.1 Website Functionality Disclaimer
While we make every effort to ensure the accuracy of our listings and the functionality of our Site, we do not guarantee that:
- The Site will operate without interruption or error
- Defects will be corrected
- The Site or its servers are free from viruses or other harmful components
10.2 No Warranty
All Content and information provided on the Site is offered on an “as is” and “as available” basis.
Key to Iceland makes no warranties or representations—express or implied—regarding the Content, accuracy, completeness, reliability, or availability of the Site or the services offered through it.
10.3 Accuracy of Guide information
Key to Iceland applies reasonable efforts to ensure the accuracy and reliability of information presented by independent guides and Service Providers as well as the Personal Tourguide.
While Key to Iceland strives to offer accurate and up-to-date information, we do not warrant or guarantee the accuracy, completeness, availability, or suitability of any recommendations provided through the Personal Tourguide and therefore accept no liability for any resulting losses, damages or claims.
Key to Iceland assumes no responsibility for any issues arising from services provided by guides, including:
- Personal or property damage
- Delays or service disruptions
- Intellectual property infringement
- Errors, omissions, or misrepresentations
10.4 Limitation of Indirect Damages
To the maximum extent permitted by law, Key to Iceland and its agents, affiliates, Service Providers, suppliers, and distributors shall not be liable for any indirect, incidental, special, consequential, or exemplary damages, including but not limited to:
a) Loss of data
b) Loss of revenue or anticipated profits
c) Loss of business or business opportunity
d) Loss of goodwill or reputation
e) Damages suffered by third parties
f) Any other economic or intangible loss
— arising from your use of the Site even if Key to Iceland was advised of the possibility of such damages.
10.5 Third-party liability
Key to Iceland acts solely as an intermediary for Service Providers and assumes no responsibility for the performance of the Service Provider.
We shall not be liable for any injury, death, damage, loss, delay, or irregularity caused by the act or omission of any Service Provider, transportation provider, or any other third party involved in fulfilling your Booking.
This limitation also applies to disruptions or changes in your travel plans due to weather conditions, strikes, natural disasters, or other force majeure events beyond our control.
10.6 Events beyond our control
Key to Iceland accepts no responsibility for any loss or disruption caused by circumstances beyond our control, including but not limited to:
- Illness or injury
- Theft or loss of property
- Labor strikes or disputes
- Machinery or equipment failure
- Natural disasters or extreme weather
- Government actions or travel restrictions
- Acts of war, terrorism, or civil unrest
10.7 Severability
If any provision of these Terms is found to be illegal, invalid, or unenforceable under applicable law, that provision shall be deemed severed from the remainder of the Terms.
All remaining provisions shall continue in full force and effect.
11. Restrictions on use
11.1 Lawful and Permitted Use
You agree to use keytoiceland.com and any Key to Iceland-affiliated platforms only for lawful purposes, and in a manner that does not infringe upon the rights of others, or restrict or inhibit their use and enjoyment of the Site.
Your use of the Site is intended for personal use and/or to make legitimate requests to book services or list services you offer.
11.2 You agree that you will not, and will not assist or enable others to:
- make speculative, false or fraudulent Bookings;
- use the Site for unauthorized commercial purposes;
- use the Site to threaten, stalk, defraud, incite, harass, or advocate the harassment of another person, or otherwise interfere with another User's use of the Site;
- use the Site to submit or transmit spam, chain letters, contests, junk email, pyramid schemes, surveys, or other mass messaging, whether commercial in nature or not;
- use the Site in a manner that may create a conflict of interest, such as trading reviews with other business owners or writing or soliciting reviews;
- use the Site to promote bigotry or discrimination against protected classes;
- use the Site to violate any third-party right, including any breach of confidence, copyright, trademark, patent, trade secret, moral right, privacy right, right of publicity, or any other intellectual property or proprietary right;
- use the Site to submit or transmit pornography or illegal content;
- use the Site to solicit personal information from minors or to harm or threaten to cause harm to minors;
- use any robot, spider, Site search/retrieval application, or other automated device, process or means to access, retrieve, scrape, or index the Site or any Site content;
- attempt to gain unauthorised access to the Site, User Accounts, computer systems or networks connected to the Site through hacking, password mining or any other means;
- use the Site or any Site content to transmit any computer viruses, worms, defects, Trojan horses or other items of a destructive nature (collectively, "Viruses")
- use any device, software or routine that interferes with the proper working of the Site, or otherwise attempt to interfere with the proper working of the Site;
- make excessive traffic demands;
- use the Site to violate the security of any computer network, crack passwords or security encryption codes;
- disrupt or interfere with the security of, or otherwise cause harm to, the Site or Site content;
- remove, circumvent, disable, damage or otherwise interfere with any security-related features of the Site, features that prevent or restrict the use or copying of Site content, or features that enforce limitations on the use of the Site.
12. Account Termination
12.1 Termination by Key to Iceland
Key to Iceland may, at its sole discretion, suspend or terminate your Account or access to the Site, in whole or in part, at any time and for any reason (or no reason), with or without notice.
Such termination may occur, for example, due to violations of these Terms, suspected fraudulent activity, or inactivity.
12.2 Loss of data
Termination or suspension may result in the loss of access to your Account, your profile, previously saved preferences or Bookings, and any other related data or content associated with your Account.
Key to Iceland assumes no liability for such loss of access.
12.3 Termination by the User
You may terminate these Terms at any time by closing your Account and ceasing all use of the Site.
Please note that previously submitted content, such as reviews, may continue to appear on the Site or affiliated platforms even after Account closure.
Key to Iceland is under no obligation to remove past contributions unless required by law.
12.4 Search Engine Indexing
Key to Iceland uses automated tools to help search engines index the Site and its content.
We maintain full responsibility for the configuration and management of these tools, including the type of information submitted for indexing.
12.5 Amendments to Terms
Key to Iceland reserves the right to modify, update, or amend these Terms at any time, without prior notice.
The latest version will always be made available on the Site. Your continued use of the Site after such changes constitutes your acceptance of the updated Terms.
Key to Iceland also reserves the right to make final decisions on the interpretation and enforcement of these Terms and Conditions.
13. Privacy Policy and Legal Standing
13.1 Data Collected at Booking
When you make a Booking through Key to Iceland, we collect and retain the following personal information for operational purposes:
- Full name associated with the Booking
- Nationality
- Age
- Booking location
- Email address
- Payment information (not including card number)
This information is stored securely in accordance with applicable data protection laws.
13.2 Information Sharing with Service Providers
Key to Iceland may share your email address and phone number with the independent accommodation provider you have booked with, solely to facilitate communication related to your reservation.
We do not share additional personal information without your explicit consent unless required by law.
13.3 Communication Limitations
Key to Iceland is not responsible for any communication issues arising from:
- Incorrect or invalid contact information provided during Booking
- Technical issues affecting your ability to receive emails or messages
- Lack of response from the client after contact has been initiated
We encourage all clients to double-check their contact details and monitor their inbox (including spam/junk folders) for Booking-related updates.
13.4 Payment Security
Key to Iceland does not store or process credit card numbers, expiration dates, cardholder names, or CVC codes.
All payment transactions are handled through secure, PCI-compliant third-party providers, and Key to Iceland does not have access to your full payment details.
13.5 Consent to Electronic Communication
By completing a Booking on the Site, you consent to receive electronic communications, including confirmations, updates, and contractual documentation. These communications are legally valid and satisfy any requirement for written notice or agreement.
13.6 Good faith agreement
Upon Booking, both parties—the User and Key to Iceland—agree to act in good faith, upholding all mutual rights and responsibilities under these Terms.
14. Governing Law and Jurisdiction
14.1 Governing law
These Terms and Conditions shall be governed by and interpreted exclusively in accordance with the laws of Iceland, without regard to conflict of law principles.
14.2 Jurisdiction
Any dispute arising out of or in connection with these Terms, your use of the Site, or any services provided by Key to Iceland shall be subject to the exclusive jurisdiction of the District Court of Reykjavík, Iceland.
